Hi, can I also set up an amount for pledge (caution money) depending on the period (e.g. € 250 for booking less than 20 days, € 400 as of 21 days).
This is not my deposit. Deposit is 25% of my cost for rental.
Hello.
1) You can define the seasons at the WP Booking Calendar > Prices > Seasons.
2) And then at the WP Booking Calendar > Prices > Prices > Duration-Based Costs page you can define the different cost for the different number of days selection.
Check more about this feature here: https://wpbookingcalendar.com/overview/#valuation-days
Watch it in this video guide https://wpbookingcalendar.com/faq/configuring-duration-based-costs/
"Duration-Based Costs" can apply for any day. Or in case if you need to apply it to a specific season, then it can depend only on the belonging "check in day" to a specific season. It means that, if you select 2 weeks, the "Duration-Based Costs" can apply costs only depending on the check-in day belonging to a specific season, even if some other days belong to another season. In other words, if you will have the days selected with season intersections, then you can have an issue with "Duration-Based Costs". Basically "Duration-Based Costs" is useful, in case, if you need to set some discount or higher cost depending on the number of selected days. For example if a visitor selects 7 or more days, then booking will have a 10% discount, etc...
Hello, I have setup a reservation system for a dog play garden but I have multiple half hour select fields and options to select half hour, 1 hour and 2 hour. When a client fills in a field for example 18:00 for 1 hour, the 18:00 field is gone. Correct, but when the next client fills in 17:00 for 1 hour this is also possible but I can only have 1 person at the time. How can I fix this?
Hello.
If you make the booking from 18:00 for 1 hour, then it is means that time slot from 18:00 - 19:00 become unavailable.
If some other visitor try to make the booking from 17:00 for 1 hour, than it is means that the booking from 17:00 to 18:00, which is available and not intersected by previous bookings. That is why it is possible to make such booking. But it is not possible to make the booking from 17:00 for 1 hour and 30 minutes or for the 2 hours, because it will intersect with previous booking, e.g. 18:00 - 19:00
If you need to define some unavailable buffers before or/and after the bookings, then it is possible in the Booking Calendar Business Medium or higher versions.
Find more information at this page: https://wpbookingcalendar.com/features/#unavailable-time-after-before-booking
Kind Regards.
On the booking confirmation settings page, there's a shortcode for adding to Google Calendar [add_to_google_cal_button]
Is there a similar feature/code to add to iCal or to export this as an .ics for the users to save to their other calendars?
Thanks
Hello.
Unfortunately, it is not available such shortcode, yet.
We will add improvements to this feature to the to-do list for having it in future updates of the plugin, but I can not say when this feature will be implemented. Sorry.
Kind Regards.
I have a booking where the Active_Language is en_GB in the Booking Listing. In the menu it is possible to change the language which i have set to nl_NL. However a payment request was still sent in EN. How can it be set to the correct language.
Hello.
You need to change the active language of the booking in the actions menu near specific booking at right side (in update 10.11 or newer). And only after that send payment request for this booking.
Kind Regards.
I want to set up the following pricing for December:
1 day € 65
1 week € 450
23 days+ € 1400
Christmas € 25 surcharge per night
I've set up a season for December excl. Christmas and a separate season for Christmas. In the pricing setup, I've added a surcharge of € 25 per day for Christmas, but when booking from the 1st till 31st of December, the costs don't take into consideration the surcharge.
So the total costs show € 1400 and not € 1450 as I want. In debug mode I see that the days beyond 23 days uses the rate of € 0. So it seems that the extra calendar for Christmas is not taken into account at all.
What am I doing wrong?
Hello.
Probably you configured the Duration-Based Costs for these costs at the WP Booking Calendar > Prices > Daily Costs page -> section Duration-Based Costs.
For set costs for days beyond 23 days define them as following
From 24 to 99 = 60 EUR per each day.
So it’s means that system can not apply the costs for the Christmas days if you start selection before Christmas days. Because such costs configuration of Duration-Based Costs depeends only from belonging check in day to specific seasons.
Kind Regards.
We have Booking Calendar Business Medium and hire out day boats. The hirer can book either a 4 hour or 6 hour session. How can I configure these options in the booking calendar?
Hello.
Probably you need to use the start time and duration of time fields in your booking form. The duration of time field can have selection of 4 or 6 hours.
Please use shortcode generator at the right side of the Booking > Settings > Form page for the fast and correct creation of booking form fields.
Kind Regards.
Thanks for the quick reply. Our customers book the boat for the day, but need to return it either 4 or 6 hours after they took it out (which could be at any time of the day). We only need to know the duration to set the price. I was hoping I could use a pull-down option, so customers could select one of the two options and then we could use this to set the price.
Hello.
1) In this case you can have usual selectbox in the booking form at the WP Booking Calendar > Settings > Booking Form > Booking Form Fields page, for example like this:
2) After that you can set the additional cost for these 2 options at the WP Booking Calendar > Prices > Form Options Costs.
It is possible in the Booking Calendar Business Medium or higher versions.
Check more about this feature here: https://wpbookingcalendar.com/overview/#additional-cost
Check this FAQ guide about configuration of additional costs based on time duration: https://wpbookingcalendar.com/faq/configure-additional-costs-for-time-duration/ You can use the same method to configure additional costs for any selected options in select boxes or check-boxes in your booking form.
Kind Regards.
Hi,
im searching for the Shortcode for the amount of deposit (partial Payment) to fill in an automated Email, but i cant find it anywhere.
It seems like there is a Problem with the Help Section regarding email Shortcodes... it says:
'This is somewhat embarrassing, isn’t it?
It seems we can’t find what you’re looking for.'
Thank you in advance
Hello.
You can use this shortcode in the booking form at the WP Booking Calendar > Settings > Booking Form page.
To show the deposit cost of the booking.
And after that you can use this shortcode in the emails at the Booking > Settings > Emails page.
Relative issue with help page, can you send screenshot ?
Thank you.
Subject : Pre-purchase inquiry - Car rental pricing and buffer time configuration
Hello,
I am evaluating WP Booking Calendar for my car rental business and would like to confirm if your plugin can handle our specific requirements before purchasing.
Our pricing structure:
We need to display prices but only accept on-site payments (no online payments required). Our pricing is:
24h rental: €200
Weekend (72h): €750
5-day week: €800
7-day week: €900
My specific questions:
Can WP Booking Calendar Business Medium handle pricing based on both duration AND specific days? For example, can we display different prices for a 72h rental during weekdays versus a 72h rental during weekends (Friday-Sunday) as mentioned in our weekend rate? Can we configure prices that depend on both duration AND the starting day of the booking?
Can we display prices to customers without requiring online payment processing? We prefer to handle payments on-site when customers pick up the vehicle.
Buffer time functionality: Can the system automatically handle cleaning/preparation time? For example:
Customer books from Monday June 9th, 2025 at 11:00 AM
Returns vehicle Wednesday June 11th, 2025 at 11:00 AM
Vehicle should automatically become available again at 1:00 PM (2-hour buffer for cleaning)
Does the "Unavailable time after booking" feature work precisely for this scenario with hourly time slots?
Are all these features included in the Business Medium version, or would we need a higher tier?
Could you please confirm if WP Booking Calendar can meet these requirements? If so, we would be ready to proceed with the purchase.
Thank you for your time and assistance.
Best regards,
Hello,
Thank you for your message and your interest in the WP Booking Calendar plugin.
1) Regarding your pricing structure, the Booking Calendar Business Medium (or higher) version can handle cost calculations based on the number of selected dates. For instance, a 24-hour rental would correspond to one selected date, and a 72-hour rental to three selected dates.
It's important to note that the system calculates costs based on the number of selected dates, not the precise number of hours between the selected start and end times. This means if a customer selects three dates, the cost will be based on those three dates, even if the total rental duration in hours is slightly more or less than 72 due to specific start and end times. The same principle applies to a one-selected-date (24-hour) rental.
You can configure these "Duration-Based Costs" on the WP Booking Calendar > Prices > Daily Costs page, within the Duration-Based Costs section.
"Duration-Based Costs" can be applied to any day. If you need to apply them to a specific season, it will depend solely on the check-in day falling within that season. This means if a booking spans across different seasons, the "Duration-Based Costs" will only consider the season of the check-in day. Therefore, if your selected dates intersect with multiple seasons, this might create an issue with "Duration-Based Costs." This feature is generally most useful for applying discounts or surcharges based on the total number of days booked (e.g., a 10% discount for bookings of 7 days or more).
Check more about this feature here: https://wpbookingcalendar.com/overview/#valuation-days
Watch it in this video guide https://wpbookingcalendar.com/faq/configuring-duration-based-costs/
2) Concerning payment processing, you can disable all payment systems by navigating to WP Booking Calendar > Settings > Payment Setup. Disabling this will prevent the payment form from appearing after the booking process.
However, you can still display the total booking cost in the booking form in real-time as customers select dates and other options. To do this, you can use the `[cost_hint]` shortcode within your booking form, which can be configured on the Booking > Settings > Form page.
3) Regarding the "Additional Unavailable Time After Bookings" feature, this is also available in the Booking Calendar Business Medium (or higher) versions. This unavailable period can be calculated based on the check-out time. You can find more detailed information on this feature here: https://wpbookingcalendar.com/features/#unavailable-time-after-before-booking
Best regards.
Thank you for the detailed response! I have a few follow-up questions:
Weekend pricing: Our weekend rate (€750 for 72h) should apply when pickup is Friday-Sunday. Can we use "Seasonal Pricing" to set higher rates for Friday-Sunday check-ins, combined with "Duration-Based Costs" for 3-day bookings?
Exact scenario test: If a customer books:
Pickup: Friday June 7th, 2025 at 11:00 AM
Return: Sunday June 9th, 2025 at 11:00 AM
Will this be calculated as 3 days (which is correct for us)?
Buffer time precision: Will the 2-hour buffer work with hourly precision? So the vehicle becomes available exactly at 1:00 PM after an 11:00 AM return?
These clarifications will help us make the final decision.
Best regards,
Hello.
1) Firstly please note this important exception, relative configuration of the costs via Duration-Based Costs!
It is 3 dates, e.g - 72 hours. System will make correct calculation based on these 3 dates selection relative configuration on the WP Booking Calendar > Prices > Prices > Duration-Based Costs page.
But if you will have 70 hours, for example:
or 75 hours, for example:
The system will make calculation of the costs in the same way as in example #1. It is because in calendar selected 3 dates.
2) >> Buffer time precision: Will the 2-hour buffer work with hourly precision? So the vehicle becomes available exactly at 1:00 PM after an 11:00 AM return?
Yes, it will. Test it in the live demo of Booking Calendar Business Medium version.
Kind Regards.
Hello,
I am using WP Booking Calendar Business Medium 10.8 and I need to limit the total number of attendees per time slot and resource (e.g., a maximum of 25 people in the 10:30 group).
I already have the "number of attendees" field active in the booking form, but I cannot find any setting to define a maximum capacity per resource or per time slot.
I’ve seen this feature mentioned in your documentation, but it is not visible anywhere in my admin panel.
Could you please tell me how to enable this option? Does it require a manual activation or some advanced setting?
Thank you in advance,
Enzo
Hello.
This feature available in the Booking Calendar Business Large or higher version.
In the Booking Calendar Business Large version, you can set capacities for your booking resources either for the entire day or for specific times within a day. This means you can control the number of bookings allowed for each day or for specific time slots. Learn more about this feature https://wpbookingcalendar.com/overview/#capacity
For example, you could specify that your booking resource can accommodate up to 10 bookings per day in a specific calendar. Alternatively, if you use time fields in the booking form, each time slot can accommodate up to 10 bookings per day. This flexibility allows you to manage bookings effectively, whether they are for full days or specific times.
Explore this feature in the live demo https://bl.wpbookingcalendar.com/
For detailed instructions on configuring capacity and availability for booking resources and to watch a video about this feature, refer to this article https://wpbookingcalendar.com/faq/capacity-concept/
Hello.
You can make upgrade to the higher version of Booking Calendar from your exist version of plugin by clicking on the “Upgrade” menu item at the top right side of General Booking Settings page in your admin panel.
Subject: Unable to configure different confirmation emails per resource in Booking Calendar Business Medium
Message:
Hello,
I’m using the Business Medium version of WP Booking Calendar (v10.11) on my website https://puentetoursmilan.com.
I need the confirmation email sent to the customer to vary depending on the selected resource (in my case, each tour has a different resource).
However, in the section Settings → Emails → New Reservation (Visitor), I cannot find any option to customize emails per resource. There is no dropdown or checkbox to activate this functionality.
I have properly configured different resources (e.g., “Rec clásica y monumental” and “Rec secreta y desconocida”), each one linked to its own booking form.
Could you please let me know how to activate the feature to send different emails based on the selected resource?
Or does this option need to be manually enabled by support?
Thank you in advance,
Enzo Modolo – Puente Tours Milan
Hello.
In case, if you need to have the different emails for the different booking resources so then you need to check the BookingCalendar MultiUser version.
In this version each activated regular user can have their own booking admin panel and can configure their own emails.
So here different emails relative to specific WP user, and each such user can have their own booking resources. Its means that different booking resources will have different emails.
Selections of booking resources can look like here https://bm.wpbookingcalendar.com/select-resource/
Here is more info about this version.
In the Booking Calendar MultiUser version possible that each registered WordPress user (your owner) have own individual independent booking admin panel, and can see and manage only own booking resources and some other settings (other owners will not see the bookings from this owner, they can see only own bookings). Please check more here (at bottom of the page) https://wpbookingcalendar.com/overview/
Also each owner (user) will receive the emails about the bookings of the own service(s) or property (booking resource(s)) and can approve or decline them. Please note, that each owner WordPress user) will have different individual calendar(s) with booking forms in the separate pages. Please retest it in the live demo.
